OFFICE AND HOUSE ACCOMMODATIONS MANAGER POSITION:
Office and Accommodations Manager Reports to:
Clubhouse Manager and Financial Controller Supervises:
Housekeeping Staff Job Summary (Essential Functions) Implement policies and procedures to ensure guest satisfaction and proper completion of all front office tasks.
Ensure the highest standards of sanitation, safety, comfort, and aesthetics for overnight and Clubhouse use by members and their guests.
Handle all incoming calls and take reservations accordingly for Clubhouse services documenting and confirming all transactions and reservations.
Trains alternate telephone monitoring staff in appropriate telephone etiquette in your absence.
Job Tasks/Duties Office Duties:
Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
Maintains effective relationships and communication with all departments.
Performs receptionist duties:
greet members, answer and direct phone calls.
Receive and sort incoming mail and deliveries, and manage outgoing mail.
Regard office policies and procedures, and ensure they are implemented appropriately.
Assist with accounts payable processes.
Manage accounts receivable - to include posting transactions and daily receipts, troubleshoot member chit inquires, prep for monthly statements and manage dunning processes.
Verifies that accurate room status information is maintained and properly communicated to ensure maximum revenue.
Member hospitality - resolve member and guest problems quickly, efficiently and courteously.
Manage a lost and found program.
Takes reservations for club outlets and events within established departmental guidelines.
Manage office supplies inventory and place orders as necessary.
Works on special projects as assigned.
Guest Room and Clubhouse Duties:
Handles all hotel and room reservations, cancellations, no-shows and billings.
Provides concierge-type services to guests.
Supervises all housekeeping employees; hires new employees as needed and creates standard operating procedures for staff.
Inspects the housekeeping staff periodically to check quantity and quality of work.
Approves all housekeeping supply requisitions.
Makes recommendations regarding necessary capital expenditures and special maintenance and repair improvements for overnight guest rooms.
Develops and implements linen, supply and other inventory management programs to control expenses.
Plans deep cleaning activities and schedules for the club's public and guestroom areas.
Recommends orders to Chef for all cleaning supplies for the Club.
Manages and Oversees the Weekly Bridge group, administration, supplies and billing Education and/or Experience Preferred Bachelor's degree or Associate's degree in Hospitality Business or related field.
Three or more years' experience in front office positions in the lodging or club industry.
Job Knowledge, Core Competencies and Expectations Manage front office systems guest reservations, registration and check-out.
Maintains a high level of member contact throughout service hours.
Knowledge of and ability to perform required roles during emergencies.
Licenses and Special Requirements Food safety certification preferred.
